Consultations are physician-performed, with the evaluating physician reviewing and signing the reports. Visits can be conducted in English or Spanish. Yes. After the agreement and portal setup, staff book 30–45-minute appointments within the clinic’s reserved time, upload the visit documents and track preparation. They then check in the patient at the clinic. The video waiting room is a separate step; entering Doxy.me does not create a booking or confirm the packet is ready.

What is the physician’s role in auto-injury rehabilitation?
The physician evaluates the patient’s symptoms, history, function and available records, then documents clinical conclusions and recommendations. Rehabilitation professionals deliver and document their own services. Good coordination keeps the medical assessment, therapy plan and responsibilities for follow-ups clear.
What is the 14-day initial-care requirement?
Qualifying initial care must occur within 14 days of the accident. A reservation alone does not meet the requirement.
What does EMC mean for an injured patient?
EMC means Emergency Medical Condition. Florida’s definition concerns acute symptoms severe enough that delaying immediate medical attention could reasonably threaten health, bodily functions, or an organ or body part. Severe pain may be part of that assessment; a pain score alone does not establish the determination.
Does a positive EMC guarantee payment or a full course of therapy?
No. EMC affects benefit limits; payment still depends on coverage, available benefits, medical necessity and claim requirements.
Must insurers pay every telehealth visit at the same rate as an office visit?
No blanket guarantee follows from Florida’s telehealth payment law. Section 627.42396 concerns major-medical insurance contracts and allows agreed rate differences. It does not establish automatic PIP payment or payment parity. Verify the applicable auto policy and claim requirements.
Telehealth care & records
What is the originating site when a patient has a video consultation from a clinic?
The originating site is the patient’s physical location during telehealth. If the patient attends the clinic, that clinic is the originating site; the physician connects from the distant site. This describes location, not an automatic billing code or facility fee.
How can clinic staff verify a Florida physician’s telehealth credentials?
Check the physician’s current Florida license through the Department of Health and confirm the permitted scope of practice. Florida licensees do not need the separate out-of-state telehealth registration. That registration follows different rules for eligible practitioners licensed elsewhere.
Can a Florida physician evaluate an auto-injury patient through telehealth?
Florida permits telehealth patient evaluations within professional standards and scope of practice. The physician determines whether the evaluation is adequate. Telehealth authorization alone does not establish PIP payment.
What can a physician assess over video?
Video can support history-taking and observation of movement, gait, visible findings and function. Record what was actually observed, what the patient reported and any examination limits. A remote physician should not describe a hands-on maneuver as personally performed.
When should a virtual visit lead to in-person or emergency care?
When the clinician cannot assess the patient adequately by video or identifies a need for urgent evaluation. The clinic and physician should know the patient’s location, who will assist locally and how emergency services will be contacted. An EMC document is not a substitute for emergency treatment.
Is an EMC determination the same as a physical therapy order?
No. EMC addresses the severity criteria for an emergency medical condition. A PT order documents the physician’s rehabilitation recommendation for that patient. Neither document automatically establishes every future treatment or its payment.
What makes a consultation report useful to the treating team?
Look for the patient and accident identifiers, relevant history, current symptoms and function, examination findings and limits, assessment, reasoning and plan for follow-ups. A consistent format can help; the clinical content must reflect the individual encounter. A polished template alone does not establish accuracy.
Can patients from the same accident share the same clinical note?
Keep a separate evaluation and record for each patient. Shared crash facts do not establish identical symptoms, findings, diagnoses or treatment needs. Review each person’s history and findings before signing; do not carry another occupant’s clinical details into the record.
Physical therapy & follow-ups
Can physical therapy start at the clinic on the day of the physician evaluation?
It may, when clinically appropriate and the required referral and clinic arrangements are in place. PIP has referral requirements for PT. Clinic-based telehealth does not guarantee an immediate treatment start.
Does Florida direct access to PT remove PIP referral requirements?
No. Florida’s PT practice law does not replace PIP’s separate referral requirements. Verify both before expecting reimbursement.
What records should be available for follow-ups and a final evaluation?
Prepare the initial evaluation, relevant follow-ups, treatment plan and imaging reports. Confirm they belong to the same patient and accident. Identify missing records so the physician can assess whether more information is needed.
Planning clinic operations
What should an owner compare when choosing telehealth versus an on-site physician?
Compare the proposed services and actual contracts: clinical needs, appointment availability, reserved hours, total cost, staff support, required equipment and the plan for in-person care when needed. Use your clinic’s visit records and written proposals to assess the fit.
Is one long session better than shorter sessions on several days?
Review several weeks of appointment demand by day and time. Compare completed visits, waiting time, unused reserved hours and staff preparation workload. Use those records to choose a schedule and adjust it as demand changes.
What does the clinic need for a supported video consultation?
Use a quiet, private space with good lighting, a stable camera, working audio and a reliable connection. Explain the visit, confirm who will be present and complete the applicable consent process. Staff should test the connection and help the patient prepare before the appointment.
Does using a portal automatically make the workflow HIPAA compliant?
No. Covered organizations must assess the technology, safeguards, staff access and vendor arrangements, including required business associate agreements. A portal’s appearance or a vendor’s marketing claim is not a compliance assessment. Review the complete workflow before transmitting patient information.
Which visit milestones should the front desk track?
A practical sequence is: appointment reserved, documents prepared, patient present, physician consultation completed, signed report received and recommendations routed to the treating team. Keep “documents ready,” “patient checked in” and “signed report delivered” separate so staff can see the next action.
Does hiring a consulting physician also appoint the clinic’s medical director?
No. Patient consultations and the clinic-director appointment are distinct responsibilities. For clinics subject to Florida’s Health Care Clinic Act, the director’s written acceptance includes defined duties concerning licensing, records and billing oversight. Confirm the clinic’s applicable requirements and the separate scope of each agreement.
What should a group standardize across multiple clinic locations?
Assign a coordinator at each location and agree on preparation steps, appointment ownership, document access, escalation contacts and report handoffs. Review missed visits, preparation delays and report turnaround by location.
