Who performs the consultations, and in which languages?
Florida PIP Doctor was founded by Armando Falcon, MD, who has more than 10 years of PIP experience. Consultations are physician-performed, with the evaluating physician reviewing and signing the reports. Visits can be conducted in English or Spanish. Clinic staff can use the portal in either language; physician-facing information and generated reports are handled in English. Florida PIP Doctor is a RenuviaMD company.
Who can connect a clinic?
An owner or authorized coordinator of a Florida clinic with an active AHCA health care clinic license. A service agreement and designated coordinator are required before booking.
Can clinics in different Florida regions participate?
Yes, subject to clinic eligibility and agreed physician availability. We review each location and recurring schedule before the service begins. Statewide telehealth availability does not mean that Florida PIP Doctor operates a walk-in office in each city.
Do you send a physician to the clinic or evaluate patients at home?
Our service is telemedicine only. The patient attends at the participating clinic’s Florida location with staff support, and the physician joins by live video. We do not offer rotating on-site physician visits or direct patient booking from home.
Who maintains the patient record?
Your clinic maintains the patient chart in its own record system. Florida PIP Doctor creates the physician encounter documentation and returns the reviewed and signed documents through the clinic portal. Each party maintains the records required by its agreement and applicable law.
Does our clinic continue providing physical therapy?
Yes. Your clinic continues providing its rehabilitation services. Florida PIP Doctor provides the physician consultations and signed encounter documentation. Each clinician remains responsible for their own services, and care recommendations depend on the individual evaluation.
Can a patient be seen the same day?
Same-day appointments may be available within your clinic’s reserved physician schedule or during an additional time opened by the physician. Availability is not guaranteed; the coordinator must receive a confirmed appointment before preparing the patient for the consultation.
What happens if the schedule is full or the physician is unavailable?
Your coordinator receives the next available options so the clinic can reschedule. An unconfirmed time should not be treated as an appointment, and urgent or emergency needs must be directed to appropriate in-person care.
Can we arrange Saturday or after-hours consultations?
Yes. Saturday consultations are available by prior arrangement and confirmed physician availability. Additional weekday appointments may be available from 5 to 7 PM Eastern when the physician opens those times. Your clinic must have a confirmed appointment; weekend coverage is not automatically included.
When do we receive the signed report?
Within 48 hours or sooner after the encounter, under the service agreement. Same-day delivery may be possible once physician review and signing are complete. The clinic files the delivered report and manages its own coding, claims and collections.
Who handles coding, claims, billing and collections?
Your clinic handles its own coding, claims, billing and collections. Florida PIP Doctor charges the clinic according to the written service agreement and does not take a share of the patient’s PIP benefits or the clinic’s collections.
Does the physician provide a PT order or plan of care?
Initial visits and follow-ups include a physician PT treatment order / plan of care based on the individual evaluation. The physician reviews and signs the applicable documents before they are released to the clinic.
How are HIPAA and Business Associate Agreements handled?
The complete workflow, staff access, technology and vendor arrangements must be reviewed during setup. Required Business Associate Agreements are addressed as applicable. Using a portal by itself does not establish HIPAA compliance.
How much does the service cost?
Designed to cost less than maintaining an on-site physician. Fees depend on the recurring physician schedule arranged for your clinic. After a brief introductory call, you receive a written proposal with the services, schedule and fees before signing an agreement.
What happens if a patient cancels?
Your clinic reserves recurring physician time under its agreement. The agreed fee remains in place when a patient cancels, does not attend or a slot is unused. Contact us about schedule changes under your agreement.
Do we need to replace our EHR or expect an automatic integration?
Your clinic can retain its existing EHR. The clinic portal handles physician appointment scheduling, visit-document uploads and signed-document retrieval; your staff files the returned PDFs in the clinic’s own record system. Automatic EHR, fax, text-message or email integrations are not included unless separately confirmed.
Does Florida PIP Doctor provide the scheduling and preparation workflow?
Yes. After the agreement and portal setup, staff book 30–45-minute appointments within the clinic’s reserved time, upload the visit documents and track preparation. They then check in the patient at the clinic. The video waiting room is a separate step; entering Doxy.me does not create a booking or confirm the packet is ready.
What should staff upload before the first physician visit?
Start with the patient’s ID or passport, verify the extracted details and enter missing information manually. Add the available crash report, this visit’s signed consent and clinic forms requiring a physician signature. The physician obtains the clinical history during the visit. Insurance cards, proof of payment and a superbill are not part of this physician-visit packet.
Which previous reports are needed for follow-ups and final evaluations?
Include the initial physician evaluation, reports from relevant follow-ups and available imaging reports for the same patient and accident. Staff can upload these files or select eligible reports already on file. If a report is missing, record the reason for physician review rather than marking it as received.
Which documents does our clinic receive?
Initial visits and follow-ups include the physician evaluation and a PT treatment order / plan of care. The initial package also includes EMC documentation and an X-ray order for physician review. Telemedicine consent applies to every visit; additional imaging and other orders depend on the clinical assessment. Your team receives the reviewed and signed documents through the clinic portal.
How are X-ray orders and the diagnostic center selected?
The clinic identifies its preferred diagnostic center during onboarding. The physician selects and reviews the studies based on the patient’s evaluation and visit notes. The initial package includes an X-ray order for physician review; imaging during follow-ups depends on clinical need. A package selection does not replace the ordering decision.
